June 2010 Board Meeting Minutes

Houston Polymer Clay Guild
Board meeting minutes, Saturday, June 19, 2010

The meeting began at 12:07 p.m. Present were: Bob Wiley – President, Betsy Fraser – Vice-President, Ronalyn Hurley – Treasurer and Membership Coordinator, Paula Kennedy – Secretary, Milli Jewell – Publicity Coordinator, and Tabiatha McKeever – Member-at-Large. Absent was Patricia Daugherty -- Education Coordinator.

Treasurer’s and Membership reports: Ronalyn reported via email that the guild has $7,634.35 in the bank.  We have 54 paid members.

Education Report: Laurie Mika is scheduled to hold a two-day workshop August 14 & 15.  Ronalyn has emailed an announcement to IPCA; Paula has emailed the North Texas Guild.  Milli will email the other Texas guilds and Baton Rouge.  Paula will send her the Baton Rouge contact person’s email.

Milli reported that she is about halfway done working up a syllabus for a beginner’s class.  She will send her draft to Patricia for review and then to the rest of the board.  She suggested that the guild offer to let newbies check out a pasta machine from the library.

Events: HPCG will conduct the demo for HCCC’s Hands-on-Houston on Saturday, July 3.  We will make mini flip-flops.

Fall sale at Beadaholique:  Beadaholique will be having a trunk show for the “Hot Flashes” lampworking group in October and does not want to have two trunk shows in the same month.  November is not a good time for several of the board members, so we discussed the possibility of September 11 for the sale.  It was decided that we would rather have the sale than to have an info booth the quilt guild show in Stafford on that day.  If September 11 does not work out for Beadaholique we will work on a spring show there and try to arrange a fall sale at either Spring Beads or Antiques, Beads and Crafty People.  Beadaholique has asked that the items offered for sale be juried.  Bob will head the jury; the other members will be anonymous.  Vendors, rather than individual pieces, will be approved or rejected by the jury.  Each vendor will submit a few pieces to the jury for review.

Future meetings:

June:  Tabiatha will show how to make miniature food items.

July:  Bob will demo “invisible canes”

August:  Patricia will demonstrate her tile bracelet construction.

October:  In recognition of the Quilt Festival, Betsy will demo quilt canes.

Betsy asked for suggestions for the September demo and Paula stated that Mary Alvarez had asked about a demo on photographing your work.  Betsy will see if Meg Marchiando would be willing to do such a demo.

Challenge: The October challenge will be “Faces”.

Retreat: The deposit has been made for the South Shore Harbour Hotel for Sept 30 –Oct 2, 2011

Refund Policy: Ronalyn suggested changes to the guild class refund policy.  The deposit will now be $50 regardless of the cost of the class.

Clay Play weekend: It was decided that the calendar has become too full to try to schedule a clay play weekend this fall.  We will try to have one in the spring.

Purchasing Agent: The idea of having an official guild purchasing agent to coordinate group buys was tabled until the next meeting

The meeting adjourned at 12:57 p.m.

Respectfully submitted,
Paula Kennedy, secretary
